Position: Assistant Bookkeeper
Reports to: Finance Director
Location: East New York, Brooklyn
Hours: Full-Time – With health benefits
Salary: $29,835

About the Position

Under the general supervision of the Finance Director, the Assistant Bookkeeper performs specific functions. In addition, the Assistant Bookkeeper is expected to accept training in all bookkeeping functions and software related to UCC’s operation so that she/he/them may substitute for the bookkeeper when required.

Responsibilities

  •  Handles all responsibilities related to parents fees: collects fees, issues receipts, enters data into excel, makes deposit slips at least once a week, provides balance and reports, posts and summarizes fee cards and reports to the educational director on fees arrears.
  • Maintains all records related to petty cash, allocation and replenishment as needed.
  • Prepares and submits all request for payment authorization in a timely and accurate manner.
  • Maintains accurate, current and organized files/records of all related organization’s documents.
  • Computes staff payroll and assists with payroll data entry into center’s platform.
  • Prepares all paperwork related to health insurance/welfare funds, retirement, union dues, and other related documentation where applicable.
  • Assists with the organization and maintenance of certain personnel records as requested by Educational Director.
  • Strictly adhere to policies regarding confidentiality, HIPAA requirements and corporate compliance.
  • Ensures the on-going availability and collection of time sheets.
  • Assist during audits by collecting supporting documentation and other appropriate related audit tasks.
  • Maintains an inventory of program equipment.
  • Assist with the completion of up-to date documentation if all fiscal related transactions for DOE, EL, CACFP and other related contracts.

Skills

  • Bookkeeping Knowledge – Have a strong grasp of bookkeeping principles.
  • Capable of generating a report both manually and through computerized methods.
  • Math Skills – Able to perform arithmetic calculations with ease and patiently double-check figures for accuracy.
  • Data entry – Efficiently input transaction information into spreadsheets or accounting software. Attention to detail is essential as well as proficiency in technology.
  • Communication skills – able to express findings, interacting with vendors, staff and program participants in a clear way.
  • Multitasking – Given the number of accounts, able to maintain focus when receiving data/information from various sources, well organized Comfortable using bookkeeping ledgers, Microsoft Word and Excel and payroll software.
